Sales Invoice Automation

Automated sales invoicing

The customer is a UK manufacturer of building products including windows, doors and fascia systems.

Before…

An admin team were receiving and collating 5000 paper delivery notes every week from their drivers and hauliers. Once sorted the paperwork was manually checked for signatures as well as for shorts/overs/comments. The data was manually keyed to confirm the deliver. The Manufacturer was referred to Topwood by one of their national hauliers. During an online demo they immediately saw the benefits of digital automation.

Result…

Delivery notes are now diverted direct to a PO Box @ Topwood and the notes are scanned daily and using intelligent character recognition (ICR) data is extracted to a database. Optical mark recognition (OMR) is also used to verify that paperwork is signed. The ICR is used to extract any comments. The extracted data is saved along with the .tiff images.
The data extracted from the delivery notes is validated against the Manufacturer’s sales ledger. Where the validation is positive (99.3% of cases), Topwood generate and email out the sales invoices and email in PDF on behalf of the customer!

What the saving was:

  • 3FTEs released for upskilling to more – value added work Elimination of keying errors for improved accuracy
  • Shortened lead times between delivery and invoice for improved cash flow
  • Less claims for damages and unsigned deliveries
  • Automatic classifying and analysis of comments
  • Full performance reporting
