Shredding Consoles and Bins

Why use secure receptacles for your confidential waste?

Most information security breeches are purely accidental and are caused simply by people seeing things when they are looking for something else. Whether as part of a clean desk or ‘hotdesking’ environment, the need for paper to be secure is one of the challenges of the ‘new office’.

Our secure consoles are available in grey, white or beech. The shredding consoles are kept locked and a letterbox opening at the front together with a clever internal baffle plate means nothing can be extracted without a key. The consoles typically hold 25-40kg of paper and measure – slightly smaller than a domestic washing machine. Our secure dual shredding consoles combine secure storage of confidential documents with storing data such as hard drives, CD’s, USB’s and tapes in a separate compartment.
These consoles have a letter box slot at the top of each compartment and an internal baffle plate so once papers and data deposited into the console, they cannot be retrieved without a key (which is supplied to an authorised member of your staff).
We supply polyprop and paper shred sacks which are strong enough to hold 15-25kg of paper (approximately 1-2 archive boxes of files) – they are delivered flat packed to save you space. The sacks are of a solid material so when filled your confidential documents cannot be seen inside. All our lockable wheelie bins are all supplied with a letterbox type opening in the lid so papers and files can easily be slid in but a clever internal baffle plate means nothing can be extracted from the bin without unlocking the lid. The secure wheelie bins come in 3 sizes; 140 litre, 240 litre and 360 litre.

Frequently Asked Questions

Topwood’s dual shredding consoles are a new addition to the equipment and supplies for our regular document shredding customers. These consoles can provide customers with the benefit of storing both documents and electronic media safely in the same unit (in separate compartments) ready for when Topwood’s vetted staff arrive to empty into our mobile shred trucks.

There has been an increase in demand for electronic media destruction in recent years, with more news stories about sensitive information being breached from electronic devices such as hard drives and online emails. Data is still retrievable from these devices if when they have been ‘deleted’. The safest way to ensure the removal of data from electronic media is to physically destroy it.

The destruction of media is now as easy and simply as shredding documents. Topwood’s mobile shredding trucks have the ability to shred media on-site in the same visit as shredding your confidential papers. To accompany this new improvement in Topwood’s mobile shredding services, we can now provide dual shredding consoles to safely hold your data until our shred trucks arrive to shred on-site.

Our dual shredding consoles have two separate compartments; one for regular documents and the other for electronic media such as hard drives, CD’s, tapes USB’s and more. The process works the same as the regular document shredding consoles. The consoles are supplied free on loan as part of our regular shredding services. Documents and data are stored in these lockable cabinets until Topwood arrive at their arranged date and time. A member of Topwood’s vetted staff will empty the bags inside these cabinets and secure with a security tag. These bags will then be transported directly to the shred truck, the security tag broken and the contents of the paper and media bags shredded in separate consoles.

What is mobile (on-site) shredding?

Organisations should be looking to shift towards mobile shredding as it ensures the shortest chain of custody and significantly reduces the risk of any security breach, whether that be deliberate or accidental.

Mobile shredding (also called on-site shredding) is when our shred trucks come to your location. We are able to offer mobile shredding for both documents and electronic media. Read more about how we can provide on-site data destruction here.

A console is a lockable, confidential paper disposal container and is a secure and efficient alternative to using office shredders. Consoles, also called receptacles or containers, are supplied free on loan as they are an integral part of a secure regular shredding service. Each console safely holds up to 40kg of papers (approx 3 archive boxes worth of paper). Read on to find out more.

One of our office shredding consoles. Confidential paper

is posted through the top slop, and it cannot be retrieved.

Our consoles are stylish, freestanding cabinets with a lockable door. The letterbox opening allows for the easy disposal of unwanted papers and documents and the baffle plate inside means nothing can be retreived. We do provide an authorised person with a key so in the event papers are mistakenly deposited they can be retrieved.

The consoles are available in a variety of colours and sizes to suit your workplace decor.

What are the dimensions of your shredding consoles?

Our lockable containers for the secure collection of unwanted confidential paperwork referred to as “consoles” or “shredding receptacles”, are slightly lower than a 3 drawer filing cabinet:

590mm wide x 390mm deep (front to back) and 900mm high.

The consoles are supplied free on loan as part of our secure data detruction programme. It is a fact that 85% of data breaches occur within an organisation and the ability for staff to safely dispose of unwanted papers and documents reduces the chance of security breaches.

Consoles ensure unwanted documents and papers can be easily instantly disposed of which means:

  • commercially sensitive information is not left exposed around the workplace
  • documents no longer required are not needlessly filed – unecessary archiving wastes time & space
  • clear desk policies are more enforcable which keeps the workplace tidy and productive
  • effort is not wasted removing paperclips and bindings required when using office shredders
  • staff do not spend their valuable time shredding papers.

A quick assessment and our expertise will determine the best number of consoles and visit frequency. Once the consoles are in use we feedback to you their fill rate by weighing the contents as we shred. This information allows adjustments to be made to ensure you have the right ‘console mix’ for optimum waste management and cost control. Read on to find out more.

How many office consoles do I need for my office?

At Topwood we tailor regular confidential shredding services for customers using information about the office and business type, combined with our extensive experience in office waste management.

Our process:

Assess Evaluate Adjust

We will measure your workplace needs by completing a quick assessment involving:

  • Number of people in the office or each working area
  • The nature of the business and industry
  • Size of the office, access etc
  • Non-confidential paper recycling policies and waste streams
  • Existing confidential disposal arrangements (including use of an office shredder)

We then recommend a number of consoles and a visit depending on your requirements and our extensive experience in office confidential document disposal.

Each console is barcoded and the driver records the weight in each console. This information is fed back to the customer and we alter the number of consoles, or the frequency of the shredding visit. The feedback identifies who are the biggest users and helps efforts to reduce paper use. By making efforts to go paper-light you will contribute to a more sustainable environment.

Example 1 – A company starts with 3 consoles with on-site shredding every 4 weeks. The contents are weighed prior to shredding and roughly each console is consistently 60% full. In such a case we would suggest we supply an additional and reduce the visit rate down to every 8 weeks.

Example 2 – Another company has 2 consoles on a 4 weekly visit arrangement.

When we visit to empty and shred the contents, both consoles are full. We would recommend that they add another console to their offices.

As a leading independent data destruction company our flexibility is a key competitive advantage over the ‘one size fits all’ national shredding companies. We pride ourselves on our customer service and communication.

Our business philosophy is that of continuous process, and finding the right combination is no exception. As a professional shredding business we have the capacity to adjust visits to suit customer requirements. For example we can easily schedule extra collections if required.

With the increased need for data destruction we can provide consoles that securely hold both documents and data (tapes, discs, USBs, hardrives). With our modern shred trucks we can shred on-site both documents and data during the same visit with our separate shredders. Find out more about what is a dual console here.

By placing unwanted paperwork through the letterbox opening at the top of the console your documents are kept locked until we collect on the dates previously agreed in a collection schedule. An authorised keyholder will be able to unlock the items in the event papers need to be retreived.

The consoles come in three different wood-effects, and they blend in next to existing office furniture.

The consoles are the perfect solution for secure document disposal between onsite shredding visits.

At Topwood we have a range of wheelie bins for the secure collection of confidential documents. We have 3 sizes of 2-wheeled wheelie bins for the collection of paperwork.

The bins all have a letter box slot in their lockable lids, allowing users to safely deposit papers and documents. Once deposited the only way to access the documents is to unlock the lid.

We have 3 sizes of 2-wheeled wheelie bins for the collection of paperwork:

You can place the bins anywhere in your workplace but they are ideal for print rooms, mailrooms, archive stores, production areas and shared recycling points.

When the lids are locked shut, confidential documents can simply be dropped through the letter box slot. For security the baffle plate inside ensures paper can not be accessed through the slot. We do assign a key to an authorised keyholder for bulk filling and in the event that a file does legitimately need to be retrieved. When the bins are full, they are taken out to the truck, unlocked, and emptied into the shredder where the contents are securely destroyed onsite.
